Unbridled Charitable Foundation (UCF) Committee Member Agreement and Terms Effective for 2026

We are thrilled to invite you to join the 2026 Unbridled Charitable Foundation (UCF) Planning Committee, a key force behind the success of our signature events. Whether you’re leading strategy, managing a team, or providing on-the-ground support, your passion and commitment make a lasting impact for the causes we serve.

This letter outlines the structure, responsibilities, benefits, and expectations of participation. Please review carefully before signing to confirm your understanding and agreement.

About the Planning Committee Structure

The UCF Planning Committee is made up of three levels of volunteers, each offering meaningful ways to contribute:

Executive Committee Member (Subcommittee Chair)

  • Leads a designated subcommittee (e.g., Auction, Celebrity Hosting, Decor)
  • Participates in strategic decision-making for UCF events
  • Attends Executive Committee and Planning Committee meetings
  • Recruits, approves, and manages Subcommittee Team Members

Planning Committee Member (Full Committee)

  • Participates in the full Planning Committee and helps guide event direction
  • Expected to serve on at least one subcommittee
  • Attends monthly meetings and actively contributes to planning and fundraising

Subcommittee Team Member

  • Supports the work of a specific subcommittee
  • Works under the direction of a Subcommittee Chair
  • May or may not be a full Planning Committee member

Subcommittees Overview

The Planning Committee is organized into the following subcommittees. Each focuses on a critical element of UCF event success:

  • Auction & Raffle – Secures, organizes, and manages items for silent and live auctions
  • Beneficiary Engagement – Coordinates outreach and application support for charitable beneficiaries
  • Bracelets – Designs, produces, and manages access wristbands for events
  • Celebrity Hosting – Coordinates the logistics, welcome, and experience for celebrity guests
  • High Impact Supporter Engagement – Works to engage high impact supporters throughout the year.
  • Decor – Designs and oversees event decor installations and visual themes
  • Marketing & PR – Promotes events through media, social, email, and other marketing channels
  • Registration – Manages guest check-in, credentials, and welcome experience
  • Security – Works with partners to ensure safety and orderly flow at events
  • Sponsorships – Identifies, secures, and supports cash and in-kind sponsorships
  • VIP Swag Bags – Curates and assembles gift bags for VIP guests
  • Volunteers – Recruits, trains, and manages volunteers before and during events

Terms of Participation

By agreeing to participate in the UCF Planning Committee, you acknowledge and accept the following responsibilities:

  1. Term of Service
    You are invited to serve for a one-year term. UCF reserves the right to conclude your participation at any time.
  2. Meeting Participation
    You agree to attend meetings appropriate to your participation level, including monthly Planning Committee and/or Subcommittee meetings.
  3. Subcommittee Involvement
    • Planning Committee Members are required to serve on at least one subcommittee.
    • Subcommittee Chairs (Executive Committee Members) lead meetings, manage their team, and coordinate all aspects of their focus area.
  4. Subcommittee Leadership (Chairs Only)
    If serving as a Chair, you agree to:
    • Recruit and approve Subcommittee Team Members
    • Maintain an active roster and communicate regularly with your team
    • Report progress to the Executive Committee and UCF leadership
  5. Silent Auction Support
    All Planning Committee Members are expected to secure items totaling at least $500 in value for the UCF Silent Auctions held throughout the year.
  6. Beneficiary Engagement
    You are expected to connect with at least one nonprofit organization and encourage them to apply to become a UCF beneficiary. This expands our impact and supports the Foundation’s mission.
  7. Professional Conduct
    You represent the Unbridled Charitable Foundation. We ask that you engage respectfully, professionally, and enthusiastically with guests, sponsors, vendors, beneficiaries, and fellow volunteers.
  8. Confidentiality & Non-Disclosure
    You may be privy to confidential or proprietary information (e.g., donor lists, sponsor agreements, celebrity involvement, internal strategies). You agree to protect this information and not disclose it during your time of service and for three (3) years thereafter.
  9. No Guarantee of Renewal
    Each year, committee roles are reassigned at the discretion of UCF leadership. This agreement applies only to the current one-year term.
  10. Media Release

By participating as a volunteer (and or Committee Member), you grant permission to the Unbridled Charitable Foundation, its affiliates, partners, photographers, and videographers to record, photograph, and/or film you during any official Unbridled event or associated activities. You further grant UCF the irrevocable right to use your name, image, likeness, and voice in any and all promotional materials, including print, digital, social media, and video, without compensation.

You waive any right to inspect or approve the finished product or the use to which it may be applied. This release is perpetual, worldwide, and royalty-free.
